Creating and Managing Quotes
Quotes in BluePro allow you to create and send professional, detailed proposals to customers. With support for flexible pricing, clear itemization, and optional visuals, quotes help you close jobs faster and with confidence. Here’s how it works.
Creating a Quote
To start a new quote:
- Click
+ New
> Quote
from the Navigation bar.
- Fill in the quote details:
- Quote Title
- Quote Number (auto-generated or manual)
- Salesperson (optional)
- Customer Message (optional) — This will appear on the final quote sent to the customer and can be personalized for clarity or trust-building
- Associated Contact (required to send the quote)
You can save a quote at any time as a draft—even before assigning a contact.
Adding Line Items
Quotes support multiple line item types, giving you full control over how you present the scope of work:
- Product / Service – Add standard services or materials with quantity, unit price, and description
- Text – Add plain text for explanations or context
- Heading – Break up your quote with section headers
- Image – Include visual references, like product shots or site photos
You can drag to reorder line items and build a quote layout that matches the way you sell.
Optional Pricing Adjustments
You can customize the financials with:
- Discounts – Apply a fixed amount or percentage
- Sales Tax – Add one or more tax rates
- Required Deposit – Set an upfront amount or percentage due before work begins
BluePro calculates totals automatically based on the options you select.
Previewing, Sending, and Downloading
- Click Send to email the quote once a contact is attached
- Click Download PDF at any time—even if the quote hasn’t been sent
The PDF includes your branding, line items, totals, and all client-facing content.
Quote Statuses
Each quote tracks its progress using these statuses:
- Draft – Saved but not yet sent
- Waiting – Sent and awaiting a customer response
- Accepted – Approved by the customer
- Declined – Rejected by the customer
- Expired – No response received in time
- Archived – Manually filed for reference, no longer active
You can update statuses manually or allow them to update based on customer actions.
Managing Quotes
From the Quotes page, you can see a full list of quotes in table view, including:
- Quote Title
- Customer
- Status
- Total Amount
- Created Date
- Assigned Salesperson
Quotes can be filtered, searched, edited, resent, or downloaded at any time.
Converting Quotes
Once a quote is accepted, you have two follow-up options:
- Convert to Job – Schedule and track execution of the work
- Convert to Invoice – Generate an invoice for immediate payment
This streamlines your workflow and reduces duplicate entry.
Additional Features
- Add internal comments for team-only communication
- Upload and store supporting files or documents
